How to prevent data loss?

Instead of crying over split milk it’s better to be careful before. We should show our extreme care for our valuable data to prevent its loss. As when such thing happens we terribly hate to hear from others that “you should be careful before about this thing” or “I told u so”. Here I’ll list some of the tips to prevent data loss and avoid hearing such terrible phrases from others.

The best practice is to always remember to backup your data regularly to avoid accidental loss. A CD falls on the floor and gets scratched, Coffee is spilled on your CD or Zip drive, the hard drive does not want to spin after being unused during two humid summer months such accidents may happen, but you should not worry if your most valuable data is stored separately in a safe place. Taking the backup of your data isn’t enough; you as well need to verify the backups by actually getting the data off the tape and back into the computers.

The most important data loss prevention tip is to keep the computing environment clean, dry, secure, dust-free and arranged in such a way that equipment cannot be jolted or damaged. Large power surges can destroy computer equipment, but even relatively low-level bursts of energy can erase the data on hard drives. To save data during power outages an uninterrupted power supplies (UPS) should be used by larger companies or institutions while smaller organizations can use power surge protectors.

Your data could be easily corrupted by a computer virus. So another thing to remember is to use anti-virus software routinely, especially if you download from the Internet. To protect your data from the newest viruses, update your antivirus program as often as possible.

We also need to protect our data storage equipment from static electricity that can damage them or can erase data as well.  We should avoid using any storage device that has been visibly damaged or exposed to heat or moisture. Drives with bugging sound can be detrimental so should be immediately turned off to prevent complete destruction of data. Our magnetic storage should be kept away from strong magnetic fields.

We should not move or displace the components of our computer when it’s running. We should as well avoid cleaning the computer with wet tissues or certain liquid cleaners instead we should use the canned air.

We should avoid turning of computers if certain programs are open. It is recommended to close all your programs before turning your computer off. Similarly we should not unplug our flash drives without ejecting it first.

It is recommended to close all programs before installing any application on your computer. It’s a bad practice to start installing applications when other programs are running in parallel.

We should avoid plugging in external hardware devices like a monitor or an external DVD drive while computer is running.

Some of the tips regarding our daily use should be considered as well. Like don't click "OK or Cancel" on popup warnings or ads, click the cross in the upper right corner instead. Unknown files attached with the emails should not be clicked (especially don't click any file with a .exe, .pif, .bat or .dll extension. We should obtain software we need to install on our system from reputable sources. We should do a virus scan on portable media that is used on your computer (floppy & zip disks, DVDs, CDs, flash drives) before using them.

For the old systems like three plus years old computers the replacement plan should be considered.
